Privacy Policy

Elsewise collects personal information to respond to inquiries, manage appointments and provide services. This policy explains how that information is handled.

Elsewise is responsible for personal information under its control.

What we may collect

Depending on how you interact with Elsewise, we may collect information such as:

  • your name and contact information
  • information needed to schedule or manage appointments
  • information you choose to provide when asking about services or working with Patrice
  • payment and transaction information handled through the services used to process payments
  • information relevant to providing individual or medicine / altered-state support
  • session notes or other working records reasonably needed to support ongoing work
  • correspondence between you and Elsewise

We try to collect what is reasonably needed for the purpose at hand rather than collecting information simply because it might be useful someday.

Please avoid sending highly sensitive personal or medical information through ordinary email unless it is genuinely necessary.

Why information is used

Personal information may be used to:

  • respond to questions and inquiries
  • determine whether Elsewise's services may be an appropriate fit
  • schedule and manage appointments
  • provide the services you have requested
  • maintain useful records about ongoing work
  • process or document payments
  • communicate about appointments or services
  • meet legitimate business, legal, privacy or record-keeping obligations

Information collected for one purpose will not simply be repurposed for unrelated uses without an appropriate reason or consent.

Services we use

Elsewise uses third-party services to operate the practice.

These include Squarespace for the website, Acuity Scheduling for appointments, Purelymail for email, Square for payments and Google Calendar for calendar syncing. FreeConferenceCall.com has been selected for online meetings.

These providers may process personal information as part of providing their services. Their own privacy practices and infrastructure also apply when information is processed through their systems.

Elsewise does not sell client personal information.

Client notes and records

Patrice may keep limited working notes relevant to ongoing client support.

The goal is not to create a transcript of everything discussed. Records are intended to contain information reasonably useful for providing and continuing the work.

Client records may include sensitive personal information. Reasonable safeguards are used to protect information from unauthorized access, use, disclosure, modification or loss.

Sharing information

Personal information is not routinely shared with other people or organizations.

Information may be disclosed when:

  • you have asked or consented to the disclosure
  • a service provider needs the information to perform a function used by Elsewise
  • disclosure is required or permitted by law
  • another circumstance exists in which disclosure is legally authorized

Where work involves another healthcare or support provider, information will not simply be shared because that provider exists. Appropriate consent and purpose still matter.

Security

Elsewise uses reasonable administrative and technical measures appropriate to the sensitivity of the information being handled.

No electronic system can be promised to be completely secure. The goal is to reduce unnecessary collection and access and to use reasonable safeguards for information that does need to be retained.

How long information is kept

Personal information is kept only as long as there is a legitimate service, business or legal reason to retain it.

Where information has been used to make a decision that directly affects an individual, it will be retained for at least the period required under applicable privacy law.

When information is no longer reasonably required, it will be securely destroyed or de-identified where appropriate.

A more specific record-retention schedule may be adopted as Elsewise's record system develops.

Accessing or correcting your information

You may ask to access personal information Elsewise holds about you or request correction of information you believe is inaccurate or incomplete.

Some legal exceptions may apply to access requests.

Requests can be made in writing to:

hello@thisiselsewise.com

Enough information should be included for us to identify the records you are asking about.

Questions or privacy concerns

If you have a question or concern about how your personal information has been handled, please contact the Privacy Officer at:

hello@thisiselsewise.com

We will review privacy concerns and respond as reasonably appropriate.
